What facility managers and onsite IT teams need to know before a cabling project

Warehouse and industrial network infrastructure has to work in an environment that is very different from a typical office. Large floor areas, high ceilings, metal racking, loading docks, forklifts, dust, temperature changes, security systems, and constantly changing layouts can all affect the network.
If you're responsible for the facility or its IT infrastructure, you don't need to be a cabling expert. But you do need to know what questions to ask before the project begins.
1. Know what the network needs to support
Before requesting a cabling proposal, make a list of the equipment and systems that depend on the network. This may include:
- Computers and workstations
- Wireless access points
- Barcode scanners
- Shipping and receiving stations
- Network printers
- VoIP phones
- Security cameras
- Access-control systems
- Inventory systems
- Digital displays
- Industrial equipment
- Servers and network storage
Don't limit your planning to equipment that exists today. Ask: what will this facility need to support over the next three to five years? This helps prevent having to install additional cabling shortly after completing the project.
2. Understand where the network connections are needed
Walk the facility and identify where network-connected equipment is located. Pay particular attention to:
- Shipping
- Receiving
- Loading docks
- Inventory areas
- Production areas
- Warehouse aisles
- Office areas
- Break rooms
- Security areas
- Equipment rooms
For each location, consider whether the connection is needed today or may be needed later.
Don't forget wireless access points. A wireless access point still needs a network connection. If your IT team has a wireless design or heat map, use it when determining where network drops need to be installed.
3. Understand the warehouse's Wi-Fi requirements
Warehouse Wi-Fi can be significantly more complicated than office Wi-Fi. Metal shelving, inventory, machinery, building height, and changing stock levels can affect wireless coverage. Before cabling begins, ask your IT or wireless provider:
- Where should the access points be located?
- How many are needed?
- Will racking interfere with coverage?
- Are there areas requiring higher capacity?
- Do loading docks need coverage?
- Do outdoor areas need coverage?
- Could future rack changes affect the design?
Don't let access-point locations be an afterthought. The cabling needs to be in place where the access points will actually be installed.
4. Know when you may need multiple network closets
A large warehouse can have significant distances between devices and the main network room. Ask your IT team or cabling contractor: can all of our copper network connections be served from one location?
If the answer is no, you may need additional IDFs (intermediate distribution frames) or telecommunications rooms. These secondary network locations can serve different areas of the facility and connect back to the main network through a backbone, often using fiber. This is especially important when dealing with large distribution centers and industrial facilities.
5. Understand where fiber fits in
You don't necessarily need to know which fiber type to specify, but you should understand why fiber may be recommended. Fiber can be used for:
- Connecting MDFs and IDFs
- Long-distance network connections
- Connecting separate buildings
- High-bandwidth backbone connections
- Large warehouse networks
If your facility is large, ask: should fiber be part of the backbone now, even if we don't currently need all of the capacity? Installing backbone infrastructure during a construction project can be considerably easier than trying to add it later.
6. Consider the physical environment
A warehouse isn't a controlled office environment. Before approving a cabling plan, consider whether the installation will be exposed to:
- Dust
- Heat
- Cold
- Moisture
- Sunlight
- Chemicals
- Vibration
- Forklifts
- Heavy equipment
- Physical impact
Ask whether the proposed cable and installation method are appropriate for the environment. For areas exposed to sunlight, for example, outdoor-rated, UV-resistant cable may be required. Where physical damage is possible, the cable may need additional protection.
7. Think about forklifts and equipment
This is an area that can easily be overlooked by someone unfamiliar with warehouse cabling. Ask: could a forklift, pallet, piece of equipment, or stored material damage this cable or connection? Look at:
- Cable drops
- Network equipment
- Camera locations
- Wall penetrations
- Equipment mounted near traffic areas
- Loading docks
The network may work perfectly on installation day and then fail six months later because a cable was installed where warehouse equipment could damage it.
8. Plan security cameras with the network
If your facility has IP security cameras, include them in the network planning process. Consider:
- Entrances
- Parking areas
- Loading docks
- Shipping and receiving
- Warehouse aisles
- High-value inventory
- Exterior areas
- Restricted areas
Don't simply ask "how many cameras do we need?" Ask "what does each camera need to see?" A camera intended to monitor general activity has different requirements from one that needs to identify a person or read a license plate. Also consider the network connection, PoE requirements, NVR capacity, and video retention.
9. Review what you already have
If you're upgrading an existing facility, don't automatically assume all existing cabling needs to be replaced. Find out:
- What cable types are installed?
- Where does the existing cabling go?
- Is it labeled?
- Are there unused connections?
- Is there existing fiber?
- Are the network closets adequate?
- Are there existing test results?
- Is any cabling damaged or poorly installed?
A professional evaluation can help determine what can remain and what should be replaced.
10. Plan around future changes
Warehouses rarely stay exactly the same. Racking moves. Work areas change. Tenants expand. Production lines change. Additional cameras and wireless devices are installed.
Ask: if we change the warehouse layout next year, will our network infrastructure still work? You may want to plan additional capacity for:
- Network drops
- Fiber
- Cable pathways
- Rack space
- Network switches
- Wireless access points
- Security cameras
You don't necessarily need to install every possible connection today. But the infrastructure should not make future expansion unnecessarily difficult.
11. Know what your cabling proposal includes
When comparing proposals, don't compare only the price. Make sure you understand what you're actually receiving. Ask whether the proposal includes:
- Cable
- Connectors
- Patch panels
- Racks or cabinets
- Cable management
- Pathways
- Conduit
- Fiber
- Termination
- Labeling
- Testing
- Verification
- Documentation
Two proposals can have very different prices because they include very different scopes of work.
12. Ask about testing
Once the cabling is installed, ask: will every installed cable be tested? For commercial installations, testing can identify problems that may not be immediately obvious. Ask whether you will receive:
- Cable test results
- Cable identification schematic
- Patch-panel information
- Fiber test results
- As-built documentation
Keep these records with the facility's IT documentation. They can be extremely useful years later.
13. Make sure the cabling is documented
A warehouse network can become difficult to manage if nobody knows where the cables go. You should be able to determine which cable goes to which location, connects to which patch-panel port, in which network closet.
Proper labeling and documentation can save significant time when troubleshooting or modifying the network. This becomes even more important when the facility changes IT providers or maintenance personnel.
14. Ask about maintenance after installation
Before selecting a contractor, ask what happens after the project is complete. Find out:
- Who do you contact if a cable fails?
- Can additional drops be added later?
- Can the contractor troubleshoot existing cabling?
- Is the documentation available to your IT team?
- Can the contractor work around an operating warehouse?
A cabling contractor may be involved with the facility long after the original installation.
Facility manager and IT checklist
Before the project:
- Identify current network requirements
- Identify future network requirements
- Map workstations and equipment
- Identify wireless access-point locations
- Identify camera locations
- Identify shipping and receiving requirements
- Review existing cabling
- Identify network closets
- Determine whether additional IDFs are needed
- Consider fiber backbone requirements
- Identify difficult or hazardous cable locations
- Consider forklift and equipment traffic
- Plan for future expansion
Before approving the proposal:
- Confirm exactly what is included
- Compare cable types
- Confirm pathway requirements
- Confirm labeling requirements
- Confirm documentation
- Ask about future additions and service
After installation:
- Verify all connections are labeled
- Verify line test results
- Receive fiber test results if applicable
- Receive updated documentation
- Verify network closets are organized
- Keep records with the facility's IT documentation
The bottom line
You don't need to be a cabling expert to manage a cabling project. You do need to know what questions to ask.
For a warehouse or industrial facility, the network needs to support more than computers. Wireless devices, scanners, cameras, shipping systems, access control, equipment, and future technology all depend on reliable infrastructure. The best time to address those requirements is before the cable is installed.
Before you approve a cabling project, make sure you know: what needs to connect, where it needs to connect, how the facility may change, how the cabling will be protected, how the installation will be tested, and what documentation you'll have when the project is finished.
That gives the facility manager or onsite IT team something far more valuable than a cable count: a network infrastructure plan they can manage for years.
