Ten minutes of prep makes the quote better.
You do not need answers to all of these. Every one you do have makes the estimate visit faster and the fixed scope tighter.
Before the estimate visit
- Rough drop count: desks, phones, printers, cameras, access points, displays
- A floor plan, even a leasing brochure PDF, with the furniture layout if it exists
- Where the equipment room or closet is today, and whether it can stay there
- Lease term and any landlord rules about ceiling access or after-hours work
- Which systems must stay live during the work, and your quiet windows
- Who owns IT: in-house, an MSP, or a vendor we should coordinate with
- Growth that is actually planned: headcount, a second suite, more cameras
The build-out sequence
For tenant improvements and new construction, this order keeps low voltage off the critical path.
- Design phase: closet location, pathways, and sleeve locations agreed with the GC
- After framing, before drywall: boxes mounted, cable pulled, rough-in photographed
- After ceiling grid, before tile: overhead runs, J hooks, and access point drops
- After drywall and paint: terminate, build and dress the rack, label everything
- Before occupancy: test and verify every port, with photos of the finished work in the closeout package
