Office Network Cabling Planning Guide

What every office manager or IT tech should know before a move, renovation, or upgrade

Network cabling is part of the physical infrastructure of an office. Once walls are finished, ceilings are closed, furniture is installed, and employees are working, adding new cables can become considerably more difficult.

During a new office build-out or renovation, contractors may have easy access to ceilings, walls, pathways, and telecommunications rooms. After construction is complete, running additional cables may require more labor, access to occupied areas, additional construction work, or visible surface raceways.

For an office manager or IT technician, the rule is simple: network cabling should be planned at the beginning of an office project, not after everything else is finished.

1. Start with the office floor plan

Before contacting a cabling contractor, obtain the most current floor plan available. Identify employee workstations, private offices, reception, conference rooms, break rooms, printers, copiers, server or network equipment, wireless access points, security cameras, access-control equipment, and special equipment requiring network connectivity.

If the furniture layout is not finalized, explain that to the contractor. A good cabling plan should allow for reasonable future changes rather than being based solely on temporary furniture placement.

2. Know how many employees the office will support

One of the first questions a cabling contractor will ask is how many people will work in the office. Do not provide only today's employee count.

Consider how many employees the office has now and how many it could accommodate in the future. Installing additional cabling while contractors are already working in the building can be significantly easier than adding it later.

This doesn't mean every office needs excessive cabling. It means future growth should be discussed before the installation begins.

3. Understand what a network drop means

A network drop generally refers to a cable run from a telecommunications or network room to a usable outlet location. For example, a workstation might have two Ethernet connections. A conference room might need several connections for presentation equipment, conferencing equipment, and other devices.

When requesting a proposal, don't simply ask "how much does it cost to wire our office?" Instead, provide the contractor with the number of employees, locations, rooms, equipment, and anticipated technology requirements.

4. Don't forget phones

Many modern businesses use VoIP phones. Although some VoIP phones can connect through a computer's network connection, the office manager should still discuss telephone requirements with the IT provider or cabling contractor.

Determine how many phones are required, where they will be located, whether phones will use Power over Ethernet, whether existing phone cables are being reused, whether the phone system is changing, and whether conference rooms require dedicated connections.

5. Plan for Wi-Fi

An office manager may think "we're using Wi-Fi, so we don't need many network cables." That's usually not the right way to approach a commercial office.

Business wireless access points normally require wired network connections. Many also receive electrical power through the Ethernet cable using Power over Ethernet, commonly called PoE.

The number and placement of wireless access points depend on the building, construction materials, office layout, expected number of users, and the wireless design. Access points should therefore be considered during the cabling planning process.

6. Ask what type of cable will be installed

Common copper cabling categories include Cat5e, Cat6, and Cat6A. The appropriate choice depends on the network's requirements and the expected life of the installation.

For new commercial installations, Cat6A is often worth discussing because it provides additional capability for higher-speed Ethernet and future requirements.

Ask the contractor: "What cable category are you proposing, and why is it appropriate for our office?" A professional contractor should be able to explain the recommendation in terms that a non-technical office manager can understand.

7. Find out where the network room will be

Every office needs somewhere for the network infrastructure to be located. This may be called a network room, wiring room, telecommunications room, MDF, IDF, or IT room.

The room may contain network switches, routers, firewalls, patch panels, fiber equipment, UPS equipment, Internet-provider equipment, servers, cable management, and rack-mounted equipment.

The room should not simply become a storage closet. Keep boxes, cleaning supplies, furniture, and unrelated materials out of the telecommunications space.

8. Ask about cable pathways

The cable needs a route from the network room to the office. This may involve ceilings, conduit, cable tray, J-hooks, raceways, or other approved support systems.

Ask: "How are the cables going to get from the network room to the workstations?" This is particularly important in existing buildings.

A cabling contractor may discover that an apparently simple installation requires additional pathway work because of inaccessible ceilings, concrete walls, existing construction, or other building conditions.

9. Coordinate network cabling with electrical work

Network cabling and electrical wiring should be planned together even though they are different systems.

Make sure the electrical contractor and network cabling contractor know about each other's work. This helps prevent conflicts involving electrical conduits, lighting, HVAC, plumbing, cable pathways, and ceiling systems.

Communications cabling also needs appropriate separation from electrical systems based on applicable standards and installation conditions.

10. Consider security cameras and access control

Network cabling is not only for computers. Modern commercial offices may have network-connected security cameras, door controllers, card readers, video intercoms, building-access equipment, and alarm systems.

Many of these devices use Ethernet cabling and may receive power through PoE. If the office is installing security equipment, make sure those locations are included in the cabling plan.

11. Don't forget printers and copiers

Printers are frequently overlooked when planning an office network. A large multifunction copier may require a wired network connection, while other printers may be located in shared work areas.

Identify printer locations before the cabling installation begins. Also consider whether the company expects to move printers later.

12. Conference rooms need special attention

A modern conference room may require connections for video-conferencing equipment, TVs, displays, room-control systems, wireless presentation systems, computers, and phones.

Discuss technology requirements with the company's IT provider before the cabling contractor begins work. Don't wait until the conference room is complete to discover that the video-conferencing system needs a wired network connection where no cable was installed.

13. Ask about fiber

Larger offices or buildings may require fiber-optic cabling. Fiber can be used for connections between telecommunications rooms, building areas, or network equipment where distance or bandwidth requirements make it appropriate.

An office manager doesn't need to select the type of fiber. Instead, ask: "Do we need fiber between any of our network rooms or building areas?"

14. Plan for future growth

One of the most important questions an office manager can ask is: "What happens if we need more network connections later?"

Potential future needs include additional employees, more wireless access points, additional security cameras, new conference-room technology, additional printers, network upgrades, higher-speed Ethernet, new departments, and office expansion.

A small amount of additional infrastructure installed during the original project can sometimes provide considerable flexibility later.

15. Make sure the cabling will be tested

Don't assume that a cable is good simply because a computer connects to the network.

Professional cabling installations should be tested using appropriate test equipment. Depending on the installation, testing can verify cable length, wire mapping, insertion loss, crosstalk, return loss, and other performance measurements.

Ask: "Will the cables be tested after installation?"

16. Ask for labels and documentation

The office manager or IT tech should not have to guess where a network cable goes. Professional installations should use an organized labeling system.

Useful documentation can include cable numbering, outlet locations, patch-panel information, floor plans, test results, fiber information, and rack layouts.

17. Understand the difference between cabling and IT services: we do both

A cabling contractor may install the physical infrastructure but not configure firewalls, network switches, wireless networks, servers, computers, Microsoft 365, or VoIP systems.

Before signing a proposal, ask: "What exactly is included in this project?" The proposal should clearly define the work being performed. We can provide the necessary network equipment installation and IT configuration to have your facility up and running too.

18. Ask about removing old cable

If this is an existing office, ask whether obsolete cabling will be removed. Old abandoned cables can create clutter and make future maintenance more difficult.

Removal should be evaluated carefully because some existing cables may still be in use and buildings can have specific requirements concerning abandoned cable.

19. Schedule the cabling before the office move

Ideally, network cabling should be completed and tested before employees move into the new space.

A typical sequence is: office design, cabling plan, pathway installation, cable installation, termination, testing, network equipment installation, IT configuration, then employee move-in.

Coordinate the cabling schedule with construction, electrical work, furniture installation, IT setup, Internet installation, phone installation, security installation, and employee move-in.

20. Questions to ask your cabling contractor

  • How many cable drops are included?
  • What category of cable will be installed?
  • Where will the telecommunications or network room be?
  • Where will the cables run?
  • Are wireless access points included?
  • Are cameras and access-control devices included?
  • Is fiber required?
  • Are patch panels included?
  • Is the rack or cabinet included?
  • Will cable management be installed?
  • Will all cables be labeled?
  • Will the cables be tested?
  • Is firestopping included?
  • Is removal of old cable included?
  • How much capacity is being provided for future expansion?
  • What work is excluded?
  • What warranty is provided?
  • What happens if additional cable is required?
  • When will the cabling be completed?

Final thoughts for office managers and IT techs

Network cabling may not be the most visible part of an office project, but it is one of the infrastructure components that can affect almost every department. Computers, phones, Wi-Fi, security cameras, conference rooms, printers, access-control systems, and many other technologies depend on reliable network infrastructure.

The office manager or IT tech does not need to design the cabling system personally. The responsibility is to make sure the right questions are asked early enough for qualified professionals to design and install the infrastructure properly.
